Who we are and what personal data we need?
As a practice that provides an Architectural service, we require limited personal data from our clients. Throughout the course of our appointment, we will usually obtain the following personal details, provided by the client.
• Name
• Address
• Telephone Number(s)
• Email Address
How we use this data?
This information is used for communication between us (Felce & Guy) and our clients. We will also use this information in the submission of Planning Applications, Building Regulation, Mains Services Applications, etc on behalf and with agreement of the client. In some instances, this information will be used to obtain quotes for additional services (e.g. Structural Engineer, Civil Engineer, Interior Designers, etc) on behalf of the client. This will only be done with prior agreement and approval from the client.
The personal data we hold is not used for marketing reasons and is not sold/distributed to third parties.
What right do we have to process this data?
As an Architectural Practice we have a Legitimate Interest, as defined in law, to process the client’s personal data throughout the course of our appointment. Without this information we would not be able to provide our service.
How is this information stored and for how long?
We have secure storage for all our electronic data and hard copies within our office. Depending on the client type, our Professional Indemnity (PI) insurance requires us to hold job related files for between 7 to 12 years after a job is complete. The personal data we hold (as listed above) does not need to be updated post completion of the works, as this needs to reflect the information during our appointment. After the period required by our PI has lapsed, hard copies are securely disposed of and digital records deleted. Record drawings/details that do not contain personal data may be retained for future reference/information.
